Postal Workshops

For the information of coordinator and postal workshop editors

Coordinator's Duties:  

1 Liase  with membership secretary to receive names of prospective postal workshop members.
2 Send details of new members to the editor concerned.
3 Compile and maintain lists of current editors and contributors to each workshop, with new members being added to workshops as vacancies occur.  If enough new members warrant it, find an editor to begin a new magazine group.  Ensure the editors understand their duties and responsibilities.
4 Provide Treasurer with up-to-date list of members (including editors) of each workshop as at 1st July each year.  
5 Every three years, if appropriate, reassign members to new workshops.  The aim, as well as putting them with another editor, is to try and ensure members are placed with new fellow contributors.
6 At least twice a year, (suggested May and November) organize an editors’ get-together.  The purpose of these meetings is to address issues and concerns of all editors and/or decide on changes, or motions that might from time to time be put to Committee.  It is also an opportunity for social interaction with fellow editors.  
7 Handle any disputes or problems that might arise between any parties of the postal workshops according to Society guidelines and in consultation with the Committee as appropriate.
8 Receive and disperse monies as the Committee shall, from time to time, direct.  Keep correspondence (paper and email) both in and out
9 Receive annual reports from individual editors at least one month before the AGM and compile report for AGM (3 copies)
10 In consultation with editors arrange inter-magazine competitions.
11 Receive each magazine once a year in order to be au fait with contributors.
12 Organise the annual picnic for all postal workshop members.  “The annual Postal Workshop picnic will be held in the Fitzroy Gardens on the third Saturday in January.  Members will meet at the restaurant at 11am.  If members sit inside the restaurant it is appropriate to purchase food and drinks from the venue.  Outside or near the restaurant members may choose to bring their own food and drinks.  If the forecast top temperature for Melbourne is to be 38 degrees or over on the day of the picnic it will be cancelled.”  
13 When an editor is unable to perform her duties for a time due to illness or holidays the coordinator will make arrangements where possible for the continuation of the collation and distribution of the workshop.
14  The appointment of Postal Workshop Coordinator to be reviewed annually at the AGM.
