Collection Management - Draft October 2000

A. The collection

The Society holds records, photographs, documents, memorabilia
and artifacts collected since the foundation of the Society in 1968
Most of the materials in the collection cover the period from the
first European settlement after 1835 to the present day
The Society actively seeks out recent material which is, or will be
important to the study of the history of the area
Exhibitions of materials from the collections are held when appropriate

B. Collection Policy

· Materials collected are those with direct relevance to the industries,
organizations, groups and people of the area.

· The following formats are collected and processed :- published
books, newspapers and periodicals, archival materials, photographs,
slides, audio tapes, CD ROM, film, and digital records in current formats

·
Ephemera, objects and textiles are retained only under exceptional circumstances

C. Method of acquisition of materials

· Gift and donation
· Purchase where approved by the Executive Committee

D. Discard Policy

· Discard of materials will be with the approval of the Records and Research Sub-Committee.

· Discards will be donated to an appropriate museum, to another organization, sold, or otherwise disposed of

E. Storage

· Materials will be stored at Ercildoune under conditions which will ensure preservation of materials

F. Loans

· Are only to organizations with accreditation to Museums Australia or to other approved organizations and are for limited or defined periods

· To be recorded in the loans register and to include the signature of the responsible officer of the borrowing organization.

G. Use of the Collections

Other than loans as above, the collections may be used by members of the Society free of charge at the place of storage. Others may use the collections through the research services of the Society for a nominal fee.
